Learn About Our Project Management Software (Basecamp), Communication Methods, and Best Practices File Sharing, Scheduling & General Procedures and Tasks Between Standout Arts Team Members and Clients
Email is typically the first point of contact. From there, we either continue to communicate primarily through email or transition the client into our project management application, Basecamp.
Basecamp is a professional, paid application with optional mobile app that allows our team to:
...plus additional communication and benefits.
Because we have dedicated schedules and a system in place for our workflow, phone conversations and meetings can throw projects off track. Additionally, to ensure that we have proper project instruction and a clear set of expectations, we prefer to keep instructions and communication related to projects in writing. Therefore, we strive to keep communication with clients limited to Basecamp and Email. However, there are times with a phone call is in order. All phone calls are pre-scheduled unless a client has a project emergency. If the client has an emergency and needs to reach us, Standout Arts provides a 24/7 live answering service for clients to call and leave a message with the live attendant who will ensure that we receive the message through a variety of direct channels.
Similar to communication by phone, our team prefers to keep project communication in writing. However, we are happy to provide an initial consultation and various presentations and updates along the way and love opportunities to SEE our clients. With rare exception, meetings with Standout Arts team members and clients happen virtually (typically via Zoom) and are pre-scheduled at least 2 business days in advance, unless there is an urgent situation.
We ask that clients refrain from texting our personal mobile phones unless there is an emergency or if no other method of communication is available. For select clients with top-tier Service Level Agreements (SLAs) with Standout Arts, text messaging may be available to clients. However, clients are instructed to email or message our full team on Basecamp in a project emergency.
Communication between team members happens almost exclusively through Basecamp
