  • Every Door Direct Mail (EDDM): Standout Arts handles the design and copy and file setup as well as ensuring that artwork meets with guidelines and best practices
  • Domain Name Registration (We recommend and use GoDaddy - but our clients own their own domain names, even if Standout Arts assists with the domain name/web address registration on their behalf)
  • Website Hosting (Hosted through Webflow or Without Code: W/O Code)
  • CRMS or Marketing Platforms such as Zywave, ServiceTitan: Standout Arts will use the "toolbox" materials provided by these platforms as they fit into the overall campaigns for our clients; however, limitations apply.

Services Not Handled By Standout Arts

The following services are often related to the projects on which we manage. While we do not handle these types of services directly, we can assist our clients in providing referrals to providers who do specialize in these services or research and general recommendations.

  • SEO (For websites designed by Standout Arts, excluding select economy websites which may include "Website In A Box" packages, Standout Arts provides "On-Page SEO", meaning that we build websites that follow today's best practices, to the best of our knowledge, for compliance with today's search engine optimization. Additionally, we will often make recommendations for SEO-friendly copy, apply practices like meta titles and descriptions, open graph images, etc.). Paid or detailed Search Engine Optimization, however, is not an area of expertise for our Standout Arts core team. As such, we typically refer clients who have strong interests in high levels of SEO to outside providers. In the past, we have recommended Philip Day Communications among other providers.

  • IT Support: Beyond the scope of support that we can offer for basic website issues/troubleshooting, Standout Arts cannot provide IT services involving networking, database management, computer or device repair, assistance with smartphones or personal social media accounts or applications, hardware or software issues. We can, however, make referrals for such services. Ocassionally, we will recommend IT services by core team member: Max Sankar. Other times, we have partnered with providers such as Advanced Computer Solutions.
  • Programming/Coding: Standout Arts does not create manual website code or handle programming projects. In some specific situations, we may be able to refer our clients to computer or website programmers who can handle our clients' requests.
  • Troubleshooting third party services: While we will do all that we can to help clients who may be having an issue with an outside entity such as a website's hosting company, a domain name/web address registrar, website widget or plugin provider, an email provider, a search engine, or other online or offline service provider, the practices and limitations of these providers are almost exclusively outside of our control.

  • An advertising platform

  • A printer or printing company

  • An apparel company
  • Data entry operators (i.e. moving data from one platform, such as a CRM, to another, migrating or merging complex data systems, manually entering events into online calendars)
  • Network or computer server managers
  • An IT company
  • An SEO firm
  • A sticker maker

How We Partner With Clients/How We Develop Service Level Agreements (SLAs)

Retained Clients

Retained Accounts typically receive the following services on an ongoing, monthly basis in accordance with their Service Level Agreement (SLA)/Contract with Standout Arts:

  • 10-60 hours per month to include consultation, graphic design, website maintenance/support/troubleshooting, copywriting, brainstorming, and other services that are often time-based
  • Website updates/maintenance/troubleshooting/support
  • Media Management: Our team works directly with account reps from advertising providers to manage the account, review rate cards and proposals, negotiate rates and make recommendations to the client
  • Social Media Management: Content creation and content curation with professional scheduling, reporting, and tracking
  • Social Media Advertising: Ongoing or campaign-specific paid advertising (prepaid by Standout Arts) with audience demographic setup/maintenance & updates (Ad budget amounts, paid to Facebook by Standout Arts, typically begin at $75 per month to be included with the client's monthly payment to Standout Arts)
  • Email Marketing
  • (1) 1-hour Consultation via virtual meeting, in-person meeting (limited availability), or phone per month
  • Discounted hourly rate for add-on service hours (for projects/service hours that exceed or will exceed the included hours within their SLA)
  • Discounted printing when our print partners are used for the project(s)
  • Included or discounted rush/after hours project(s) (with limitations)
  • Prioritized turnaround on all projects
  • Access to Basecamp

Add-On Services Include:

  • Website Design & Development Package with payments on the website project incorporated into/rolled in to their SLA. For example, if the client will be working with us as a retained account at a level of approximately $1500 per month AND working with us on a new website that we've proposed at $7,000, we may opt to request a 25% deposit for the website project ($1750) collected up front, and then roll the balance ($5250) into their monthly retainer ($1500), making their total monthly payment due in the amount of approximately $1935. IMPORTANT: For retainers that have website payments rolled in, a 12-month contract is required to ensure that the website project is paid in full regardless of the remainder of the SLA/retained services.
  • Prepaid annual renewal of website hosting (Add approximately $400 to the annual total to be charged to the client for this add-on)
  • Google Ads Management (outsourced through Megan Pritts of Ducks In Rows at a minimal cost to Standout Arts of $450 per month: Add approximately $600 per month to the SLA for this add-on)
  • On-Site Photography (minimum of $500 per included session to be added to the annual SLA)
  • Aerial Drone Videography or Photography (minimum of $1000 per included session to be added to the annual SLA)
  • Digital Display Ads (Geofencing Ads) (outsourced through the News Virginian at a minimum cost to Standout Arts of $550 per month: Add approximately $650+ per month to the SLA for this add-on)

How Monthly Retainer Amounts Are Calculated:

  • Begin by assessing the estimated number of service hours expected to be used each month in order for the Standout Arts team to complete the full volume of projects each month. Discount the hourly rate (based on the current standard, commercial hourly rate) based on the number of service hours that are to be included with the SLA. For example, if the client will need approximately 15 service hours per month and our standard hourly rate is $150 per hour, we would discount the rate to $100 per hour x 15 = $1500 as the base. The service hours can accommodate most services including: Graphic Design, Email Marketing, Consulting, Copywriting, Website Updates/Maintenance/Research/Troubleshooting/Media Management
  • The minimum for Social Media Management as a standalone retainer is $650 for businesses and $450 for nonprofits to include $75 per month in paid ads to Facebook/Instagram. If this is being added to a full-service retainer, it could be discounted to as low as $300 (for both commercial accounts and nonprofits). Using the example below, if the base is $1500 per month and the client adds Social Media Management, the new monthly payment is $1800.
  • For example purposes, if the client's SLA is also to include (2) on-site photography sessions per year, we would add a minimum of $1000 to the ANNUAL estimated total of the SLA and then divide by 12 ($83), therefore adding about $90 to the monthly retainer fee: $1800+$90 = $1890 per month.
  • For example purposes, if the client's SLA is also to include monthly digital display advertising (geofencing ads) managed by Standout Arts, we would add a minimum of $650 to the monthly retainer fee: $1890+$650 = $2540 per month (which we would likely round to $2500)
  • For example purposes, if the client's SLA is also to include managed Google Ads (outsourced through Ducks In Rows at a minimum cost to Standout Arts of $450), we would bill approximately $600 for this add-on service: $2500+$600 = $3100 per month (which we would likely round to $3000/month)
  • NOTE: For the development of the base fee, which is based on the number of service hours, the more hours included with the SLA, the deeper the discount on the hourly rate, compared to our standard hourly rate. For example, a 10-hour retainer may discount our hourly rate from $150 per hour to $100 per hour for a base fee of $1500 per month for the retainer. However, a 30-hour retainer may discount our hourly rate from $150 to $75 per hour for a base fee of $2,250. Special considerations are applied when a client adds on additional services. For example, if the client will be partnering with us on a larger service hour package (i.e. 25+ hours per month) AND adding additional services such as Digital Display Ads (geofencing), we may opt to further discount our hourly rate. That said, we strive to avoid any scenario where the value of our hourly rate is less than $30 per hour. For example, if a client is partnering with us on a very large SLA of 60 service hours per month plus Google Ads Management, plus Commercial Photography, plus a Website Package with a remaining balance (after the upfront deposit) of approximately $5,000 ($5000/12 = $416) Digital Display Ads, we may opt to discount our hourly rate to $30 per hour to accommodate an SLA priced at ($1800), plus the Commercial Photography session ($1000/12 = $85), plus Google Ads Management ($600/mo. minimum), plus Geofencing Digital Display Ads ($650/month minimum) = grand total of $3550 with a 12-month agreement (noting that retainer packages that include website payments need to operate on a 12-month minimum SLA to ensure that the website project's balance is paid in full, regardless of the status of the retained services). This option provides for substantial value to our clients, continuing to make our retainer options those that incorporate the best value.

In most cases, Standout Arts will run a retainer account SLA for a minimum of 6 months. In rare situations, we may offer a 3-month option. For retainers that include monthly payments on website projects, a 12-month SLA is required.

Most commonly, Standout Arts creates an SLA for a retainer account with a 12-month agreement. Additional, special consideration or value-added services may be offered to those who accept a 12-month agreement. Such special considerations may include:

  • 5% Discount on monthly rate
  • 5% Increase in paid ad spending by Standout Arts (to social media) at no cost to the client
  • Bonus service hours at no cost to the client
  • Bonus photo shoot
  • Bonus rush/after hours service
  • No-Charge/prepaid website hosting for 1 year (up to $450 value)
  • $1000 annual print budget (Standout Arts will provide up to a $1000 value in printing when using our print partners)
  • Up to 15% discount for prepaid, upfront payment of the full 12-month contract
